Junior Scheduling and Data Entry Specialist

Essential Duties and Responsibilities include the following. Other duties may be assigned.

● Is responsible for the coordination of client visits, maintenance and upkeep of scheduling records and log books.
Monitoring Electronic Visit Verification compliance and online office clerical duties.
● Staffing coordination duties include the accurate and timely communication of scheduling changes between
office and field staff.
● Answering the phones, performing routine office clerical tasks.
● Assisting in the coordination of client services under the direction of case managers.
● Will be responsible for the coordination of client visits, maintenance and upkeep of scheduling records and log
● Day to Day duties:
o Using our electronic visit verification (EVV) system to make sure all direct staff are clocking in and out
for work on time.
o Following up with employees that need assistance with EVV.
o Updating schedules whenever a client's hours change or whenever an employee requests a new
o Submitting EVV records to the Sandata aggregator.
o Preparing completed schedules for billing and payroll.
o Assisting office manager with billing and payroll biweekly.
● Maintains a current client roster with necessary information.
● Updates log books and schedule sheets.
● Prepares weekly schedule for field staff and provides copies for distribution.
● Assists in coordinating services provided to clients.
● Controls and monitors schedule changes.
● Checks compliance of visits done (on master schedule) after all notes are matched to charges, brings any
scheduling problems to the supervisor's attention immediately.
● Assists in taking referrals, makes copies of referral sheets for Payroll/Billing Manager and on-call coordinator
when requested.
● Obtains weekly visit count and report results to the Supervisor.
● Assists in relaying messages to field staff, office staff and community liaisons.

Key Qualifications include the following:

● Preferred bachelor’s degree or equivalent.
● Preferably data entry or customer service experience.
● One year of experience as coordinator/scheduler or other related health field preferred.
● Should be a skilled organizer able to manage office files, log books and staff schedules.
● Must possess light secretarial skill and have a polite telephone manner, along with great customer service skills.
