Under the direction of the CEO, the Practice Coordinator will help manage the day-to-day functions of the practice, support clinicians and medical staff, and assist with marketing the practice to increase access to care.
Essential Duties and Responsibilities include the following.
General Responsibilities
- Answer incoming calls. Check voicemails and faxes daily
- Book, cancel, reschedule appointments for patient visits at time of call.
- Confirm appointments for all patients who have not confirmed via automated system.
- Coordinate with other Medical Assistant/Administrative Assistant to ensure new and follow-up appointments are booked in a timely manner for all clinicians.
- Perform medical record management: Update demographic information, upload primary care notes, upload before and after photos and update current prescriptions prior to or during visits in patient charts
- Call in medications to pharmacy
- Send Referrals to outside Clinics.
- Prepare Consent forms for all new patients. Keep forms updated.
- Obtain Eligibility Report and PCP referrals for all patients prior to each visit.
- Provide Patients with relevant instructions for specific procedures.
- Work with providers to document progress notes during medical visits.
- Other duties as assigned to ensure clinic runs smoothly and efficiently.
Billing Responsibilities
- Prepare Superbills for assigned clinician and facilities.
- Work with Billing agency to ensure all superbills are submitted in a timely manner.
- Rework denied claims and submit corrected information to billing agency.
IT Responsibilities
- Become a super-user of current and new office technologies.
- Experience using Office Ally Electronic Health Record (EHR) is a plus, not required.
SKILLS:
- Posses a positive “can-do” attitude.
- Excellent written and oral communication skills.
- Must be self-starter, ambitious, dependable, driven, and resourceful
- Must have great time management, critical thinking, judgment and decision-making skills
- Working knowledge of Medicare insurance rules and regulations, a plus.
- Strong organizational skills and effective interpersonal skills.
- Proficiency in Microsoft Word, Excel and PowerPoint software, social media marketing and use of internet.
- Knowledge of medical terminology, ICD-9/10 coding a plus.
- Ability to solve problems independently and effectively.
- Reliable, and willing to work “night shift” in Philippines
QUALIFICATIONS:
- 0-1 year podiatry experience a plus, not required.
- Knowledge of federal, state and local laws and regulations including OSHA and HIPAA requirements
- Experience with clinical intake, patient data collection
